Designer Playbook SOP
1

Communication & Intake

Efficiency starts with knowing where to look. We use a three-tier system:

Freedcamp
Source of truth. Briefs, links, and task-specific updates live here.
Email
Formal notifications and external file delivery.
WhatsApp
Quick syncs and urgent pings only.
The Golden Rule Acknowledge Freedcamp tasks immediately. Switch status to "In Progress" once you start so the Creative Director is looped in.
2

Standardized File Naming

Proper naming ensures files are searchable and professional.

Social Media Date, Type - Client
eg. Dec 27, Feed Post - Giftme
Digital Project - Client
eg. Christmas Card 2024 - CPFS
Print Size, Type - Client
eg. Billboard 8x8 ft, Holsum Country - Holsum
3

Folder Hierarchy

We use a strict "nesting" logic in Google Drive to keep every client organized.

Client Name
2026 (Year)
02 February
Project Name
Assets & Support // Fonts, logos
Review // Drafts
Editable Files // Final Source (AI, PSD)
4

The Feedback Loop

We operate in two distinct stages to keep revisions organized.

Stage 1: Internal
Creative Director reviews work. Revisions are left as comments directly on the drive file.
Stage 2: Client
Once approved internally, the client provides final feedback via Freedcamp or Google Comments.
5
